JOB TITLE: Special Service Secretary
REPORTS TO: Director of Special Services
JOB SUMMARY: Under general supervision, performs a wide variety of secretarial/clerical work and handles daily work pressures, requiring constant concentration to a volume of work, which must be completed within a limited period of time, for the special services department.
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent.
- Criminal history clearance (background check and HB 2062).
- Excellent interpersonal communication and organizational skills.
PRFERRED QUALIFICATIONS:
- Experience working in public schools, preferably in the area of special education.
- Proficiency in a variety of computer/technology skills (i.e. word processing, spreadsheets, Google Suite) and ability to learn new programs.
- Spanish speaker.
SUMMARY OF ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Serves as support staff for Director of Special Services.
- Maintains special education files, mails original files for departing students, tracks regional students and IEPs and eligibility documentation.
- Assists in providing special education teachers with special education forms and documents.
- Performs a wide variety of clerical and secretarial work, including answering phones, typing, proofreading, distributing, filing, sorting, and handling all incoming and outgoing mail.
- Prepares materials, attends, and takes minutes for meetings.
- Prepares and processes purchase orders.
- Oversees districtwide MAC survey, maintains 504 records, and assists with IEP document reviews.
- Submits Oregon Department of Education compliance reports.
- Assists with McKinney-Vento program needs and implementation.
- Assists with data collection as related to special services’ programming.
TERMS OF EMPLOYMENT: The position is 1.0 FTE (40 hrs/week) working 219 days a year. Salary range in accordance with OSEA negotiated agreement (Code 12 - $25.78-$29.88). Excellent benefits including Medical, Dental and Vision insurance and Oregon state retirement.
