JOB TITLE: Middle School Head Secretary
REPORTS TO: Building Principal
JOB SUMMARY: This position provides full spectrum administrative support to the school principal and staff including matters of a confidential nature handling daily work pressures, requiring constant concentration to a volume of work which must be completed within a limited period of time and serves as the first point of contact at the assigned school for staff, students, parents and community members fielding inquiries and directing appropriately.
MINIMUM QUALIFICATIONS:
- High school diploma or equivalent.
- Two years of related clerical experience
- Criminal history clearance (background check and HB 2062).
PREFERRED QUALIFICATIONS:
- Spanish speaker.
SUMMARY OF ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Performs a wide variety of secretarial work, including answering phones, word processing, filing and mail.
- Completes a high volume of computer data entry, using District computer programs, to input data with speed and accuracy, including confidential data, in an environment with constant interruptions.
- Researches, creates, inputs, formats, organizes and edits data as requested and prepares in a usable format.
- Independently answers routine questions and correspondence not requiring the supervisor’s attention.
- Maintains accurate student records including attendance records, new/transfer student registrations, student withdrawals, behavior referrals, immunization records and student grades.
- Compiles and prepares reports for administration or outside agencies, as required.
- Schedules conferences and programs as required including creating schedules, contacting all invited parties, preparing confirmation and distributing materials to all parties (teachers, specialists, parents, etc.).
- Assists in evaluating student injuries, performs minor first aid and administers medications.
- Appropriately maintains and secures confidential records and inquiries.
- Professionally represents the school and District in interactions with parents, community, staff and students.
TERMS OF EMPLOYMENT: 207-Day Contract at 1.0 FTE. Salary pending finalized OSEA negotiated agreement (24-25 salary range is $20.50-$23.64/hr). Excellent benefits including Medical, Dental and Vision insurance and Oregon state retirement. Paid time off includes one sick day per month worked and three personal days, pro-rated per school year.
